A checklist template may be created for checklists you repeatedly use with various groups of students. For example, you may have a checklist for all Juniors or all Seniors. You may also have more specific checklists related to students' interests (i.e. Sports, Performing Arts) or for students with comprehensive packages or hourly students. Once you have created a template, you may then import it to a specific student's profile and use the checklist items to track your progress with the student. Changes may be made to template checklist items and then you may sync the changes with items previously imported to individual student checklists. Notes may be added to items on the template. You also can change the sort order of the checklist items. Templates may be imported and then customized to match the tasks of a specific student.
How to create a checklist template and add items:
- Navigate to "Students Main"
- Select "Add Checklist Template" from the toolbar, or using the + icon in the template section
- Type in the name of your checklist template
- Click "Save"
- Double-click the template name, or select "Edit checklist items" from the template card menu (The three vertical dots on the far right of the card)
- Click "the + or hit return after creating each task within the template
- You can make this checklist template shareable with your teammates by switching the "Allow Teammates to Import" toggle to ON (This can also be done from the template menu)
- When you finish adding items, simply close the view; they are saved automatically
Editing Checklist Items that are in a Template
- From the Checklist item view, click the menu to Edit an Item

This will open that task in edit mode. Here, you can update the title, add notes, a due date option, and choose whether to update checklists in student profiles where this task already exists. The Title is the only required field.
Due Date Options are great for setting a Due Date within the Student Profile when the template is added, without having to go into the Student Profile to set it manually!
- If your template is a New Student Checklist, or another template that is created Setting a Due Date [X] days out is a great option! For example, in a New Student Checklist, a reminder to request a signed contract may be set 1 day out, while a task meant to add the Student to your Quick List may be set to 5 day safter adding to profile. The number of days out will be converted to the appropriate dates when the checklist is added to the Student Profile.
- If your template is based on tasks that happen at the same time annually, such as in a Rising Seniors checklist then selecting a month/day for the Due Date makes more sense. A task to check the application deadlines for all the schools in My Colleges may be set for August 5, for example, and will show on the Student Profile as the next calendar occurrence of that date.
Managing Checklist Templates
The number of checklist templates can get lengthy over time.
- To make the list of templates more manageable, you can sort or filter templates.
- To make it easier to either add multiple templates to student profiles, or delete unused templates at one time, you can mass assign or mass delete templates.
Sorting and Filtering Templates
The icons for Sorting (blue box in image below) and Filtering (red box in image below) templates are a great way to find the right template quickly. Use the these mechanisms to quickly find the right template whether you are searching by owner, title, created date, or other attributes. The filter option includes a text search field that will even find templates based on checklist tasks within the template.
Mass Assign and Mass Delete Templates
You can either delete or assign multiple templates to one or more students at the same time with the Mass Assign function.
- Click the box on the left side of the template card for one of more templates (or "Select All" in the section just above the template cards)
- A new grey work bar will appear in the section with options to Add to Profiles or Delete
- If you select "Add to Profiles" a new dropdown menu will appear with three categories for assigning the template(s) student profiles: Tags, Groups, and Student Profiles, as well as a general search box that can be used to search across all categories
- Tags are all of the tags used on Students in your account. If the number is overwhelming, click the caret next to the label to hide the section. Otherwise, note that you can perform a text search on the tags, or scroll the list to select tags.
- Groups are groups of students based on their attributes in CollegePlannerPro
- Active will select all Active Students that you manage
- Quick List will select all students in your Quick List
- Class Of... will allow you to select one or more class years and select all students with that graduating year in their profile
- Finally, you can search select by Student Name
- Note that if a student falls into more than one group based on your selections, the checklist items will still only be added to their template once.
- Once you have made your selections, scroll to the bottom of the menu and select "Add" and the template will be added to all relevant student profiles.
- To Delete multiple templates at once, simply select the delete option, then confirm delete. This will not remove the checklist items that have already been assigned to Student Profiles, only the templates themselves.
