Contact and Student Profile Notes are private transcripts you create and save for future reference. Each note can store approximately 2-3 document pages' worth of content. Fully qualified URLs (example: http://www.collegeplannerpro.com) will automatically be transformed into clickable links inside of a note.
You can store any information in a note that you would like to keep in a contact's or student's profile. Posting session notes after each interaction with a family is a good example of a note. By keeping your meeting notes in a profile, you can have a log/transcript of everything you’ve covered with each student/family. By default, notes are NOT viewable by your students or parents, however, you do have the ability to email (or part of the note) to students and parents. To help get you started, below are a few examples of how you could use Profile Note Templates:
External Note Sharing via Email
You can create the foundation of a note that will be used to email to parents and/or students on a one-on-one basis.
Some ideas for Notes that you could store as Profile Note Templates to send as 1:1 emails to students or parents include:
- Introductory email
- Overview of services, contact information, working hours, standard response time
- Overview of CustomCollegePlan
- How to set up a student account, link a phone for text alerts, where to upload files, and research colleges
- Essay guidelines
- Parent welcome email
- Contracts
Internal Note taking
You may use Profile Note Templates to maintain consistency when taking internal notes for students and/or parents. Using templates will keep the formatting you desire.
Samples of meeting note formats that you could save as Profile Note Templates include:
- Meetings agendas
- List of parent intake questions
- List of questions for students (initial meeting, start of each academic year)
- Academic planner (blueprint for students as they work toward their post-high school goals)
- Activity list
Snippets
You can create short, reusable text blocks stored as Profile Notes Templates that can be used to help build an email. These would be frequently used blurbs or paragraphs when working with students and families.
Sample Snippets:
- Information on recommended summer programs
- Importance of community service and leadership in extracurricular activities
- Recommendations for local tutors
- Thoughts on SAT/ACT testing
