Athena AI uses an annual per-student license model. One license covers one student for a full application cycle and allows for unlimited essay reviews for that student. Student seats are valid for the current admissions cycle and expire on May 1st of the following year.
The benefits of linking a student in CollegePlannerPro to their writing in Athena AI is two-fold:
- You can easily go from the Student Profile in CollegePlannerPro to the student's profile in Athena AI to see their current writing assignments and the status of their writing for each prompt, making it more convenient to review student details without looking for multiple logins and searching for the student in multiple locations.
You can select to import colleges from either the student's "My List of Colleges" or your "My Suggested Colleges" lists from CollegePlannerPro into Athena AI lists with just a couple simple clicks, saving the manual effort of loading them all into Athena AI.
How to Link a Student from CollegePlannerPro into Athena AI
- Navigate to the Student Profile in CollegePlannerPro. In the "Application Essay Management: Section, you will see a large button for Athena AI:
- Click the Athena AI button to open the pop-up window for linking a student. If you have not already linked your CollegePlannerPro account to an Athena AI account, you will be prompted to do this before you can continue.
- If the student you are viewing in CollegePlannerPro already exists in Athena AI, select that student's name from the dropdown in the top right corner of the screen. The dropdown is organized to show the same name or close matches first, then all remaining unlinked Athena AI student names in alphabetical order. This is meant to hep you link the correct student even if a nickname or alternate spelling was used in one location. Click "Link Student" once you have selected the appropriate student.
Linking a student from CollegePlannerPro to an existing Athena AI student does not consume a new Athena AI license, however, if the student is Inactive in Athena AI, you will need to reactivate them to continue using Athena AI for that student.
- If the student does not already exist in Athena AI, click the box in the box in the center right of the page, by the student's name. Then click the "Create Student" button.
This action requires the user to have at least one open license in Athena AI. If you do not have any licenses, you will need to purchase more from within Athena AI to continue.
- If the student you are viewing in CollegePlannerPro already exists in Athena AI, select that student's name from the dropdown in the top right corner of the screen. The dropdown is organized to show the same name or close matches first, then all remaining unlinked Athena AI student names in alphabetical order. This is meant to hep you link the correct student even if a nickname or alternate spelling was used in one location. Click "Link Student" once you have selected the appropriate student.
- Once you have selected an option to either link the student or create the student, Athena AI will open in a new tab with that student selected as the current student. Going to "Supplementals" and "Add Universities" will allow you to select from CollegePlannerPro college lists for that student as well as to manually add universities. There is no limit to the number of schools linked within a student's Athena AI account.
FAQs:
- Is it OK to have students in my Athena AI account that are not in my CollegePlannerPro account and vice versa? Yes! Even if you link your accounts, it is not necessary to include the same students in each location. You may purchase Athena AI licenses on a student-by-student basis as desired.
- Is there an easy way to upload a student from Athena AI into CollegePlannerPro? No. Because Athena AI is not designed for direct interaction with students, the only student details collected in that platform are the student's first and last name. This is not enough information to create a student in CollegePlannerPro.
- What happens if I want to add a student from CollegePlannerPro to Athena AI, but I don't have any licenses available in Athena AI? When you click the button to add a user to Athena AI from their Student Profile, the pop-up that results will show you how many licenses you have available for use. If you do not have any available licenses, you will not be able to add the student. You would need to first purchase the additional license.
- What if I added a student during my trial that I don't want to include when I pay for licenses? We know that some users will add a student for whom they've already reviewed their essays during their trial, to compare the results with Athena AI to their own editing work. This is a great way to vet the product! While purchased licenses are valid for one year and one student, and cannot be transferred, the students that were added during your free trial can be removed at the end of your trial. When you go to Purchase Licenses during or after your trial in Athena AI, you will be given the option to remove the license from any student who was included during your trial. Students who are not kept after the end of the trial will show as "Inactive" in your Athena AI account, and you will need to use a license to reactivate them. If you purchase fewer licenses than the number of students included in your trial, this will be done automatically.
