When working in a multi-consultant account, students must be assigned one "Primary Consultant", and may optionally be assigned one or multiple "Secondary Consultant(s)".
Primary Consultant
Each student must have one consultant assigned as their “Primary Consultant” - this is typically the individual with whom they are principally working.
- The Primary consultant has exclusive access to a small handful of details related to their assigned students:
- The assigned consultant is the individual whose name appears for the student in CustomCollegePlan (the student portal) - for instance, at the top of the Suggested List of Colleges.
- If utilizing the built-in appointment scheduling tool, only the Primary Consultant’s event type options will appear in CustomCollegePlan as options for student booking. There is, however, an easy workaround for this that we can explain in more detail (contact us at support@collegeplannerpro.com to learn more).
- The Primary Consultant may communicate freely with the student via the Conversation feature, at no additional cost.
Secondary Consultant(s)
Optionally, a student may be assigned any number of “Secondary Consultants”. This type of assignment is ideal for any other teammates who may be working with the student simultaneously - for instance, a tutor, an essay specialist, or a similar type of advisor.
- The most common use of a Secondary Consultant assignment is to grant a consultant with the more limited “User” permissions to view/edit a student profile when there is already a Primary Consultant assigned.
- Like the Primary Consultant, Secondary Consultants can communicate and work with the student by emailing Notes, sending Broadcast Messages, assigning To-Dos, modifying the Suggested List of Colleges, etc.
- Secondary Consultants may communicate with the student via the Conversation feature, if the Account Owner enables this functionality for the consultant user. An additional monthly cost applies.
- Updates from both primary and secondary students will be posted to the “CustomCollegePlan Updates Made by Students” section on the Students tab, as well as appear in the CustomCollegePlan Student Update Email Digests, if enabled.
- Accounts using Prompt: Please note that Prompt does not support multiple counselor assignments in their system. In order for a consultant to receive Prompt-generated notifications about student essays, they must be the primary consultant in CollegePlannerPro. This is one situation in which an essay specialist may be better suited as primary consultant rather than secondary consultant.
